TrueCoach Alternatives: Run Your Roster with RosterOS
Keep bookings, session notes and payments with each client. A practical look at RosterOS for trainers moving their daily admin from TrueCoach.
Published · By the RosterOS team
For personal trainers who coach face to face, RosterOS is our first choice among TrueCoach alternatives. It brings your appointments, session notes and payment records together on iPhone and iPad, with a free plan for up to 15 active clients.
A completed workout tells you how training went. You still need to know when the client is coming back and whether Tuesday's session was paid. RosterOS puts those business records with the person they belong to.
Start your roster free. Clients don't need an account or another app to install.

Give each client a record you can work from
Suppose you have twelve clients. Some book recurring appointments, a few buy packages, and others pay session by session. You're keeping track of all of them while coaching the person in front of you.
In RosterOS, the client's record holds the context. Their notes sit with their bookings and payment history, ready for the next appointment. You can schedule sessions and record what happened afterward without asking clients to take on the logging themselves.
That makes RosterOS a good fit when you're the one managing the week. Open the record, check what you need and carry on with the session. The documentation shows how booking and session wrap-up work.
Get the admin done while the session is fresh
A useful note is often short: what you changed, what the client reported, or what you want to revisit. Keeping it with the session gives you something to work from next time. Our session-note guide has examples you can adapt.
The same applies to payments. If a client paid through bank transfer or your usual payment service, record it against their session in RosterOS. You keep your existing collection method and a record of the money received.
For prepaid clients, Pro adds session packages. Track the appointments remaining alongside the payment record, so you're ready when a client asks how many sessions they have left.
Start free, then choose Pro for the tools you need
| Plan | What it covers |
|---|---|
| RosterOS Free | Up to 15 active clients, appointments, notes and payment logging |
| RosterOS Pro | Session packages, workout building and other advanced tools listed in the plan details |
Start with your current bookings on the free plan. If you need packages or workout tools, check the Free and Pro details and your localized in-app price.
Pro's workout tools keep programs with you, the trainer. Clients don't receive a login to view them or submit results. RosterOS runs on iPhone and iPad, and payments are recorded after you collect them elsewhere.
RosterOS and TrueCoach serve different parts of coaching
TrueCoach's program builder supports creating and scheduling workouts, and its client app lets people log training and communicate with their coach. Those features matter when clients follow programs on their own.
Our case for RosterOS is the in-person business: appointments to keep, notes to return to and payments to record. You manage those records yourself, and your clients can keep communicating with you as they do now.
TrueCoach's pricing page lists plans for five, twenty and fifty active clients, with a 14-day trial. Compare the client count and features you need, the billing term, and any payment-processing fees. RosterOS's free plan gives you room to start managing 15 active clients; its Pro tools are a separate decision.
Other TrueCoach alternatives
For businesses that need client workout delivery or group programs, the other options include:
- Trainerize for workout, nutrition and habit coaching, with Stripe payment integration. Check its plans and add-ons for your service.
- Everfit for workout building and messaging, including a free Starter plan for five clients.
- PT Distinction for programs, assessments and group coaching with automated workflows.
For the trainer running their own appointment diary, RosterOS is the option we'd start with. You can put it to work with the clients you're seeing this week.
Move your daily client admin to RosterOS
Begin with three clients and their next appointments:
- Add each client manually or import their contact details from iPhone Contacts.
- Book the upcoming sessions and add the notes you'll want before they arrive.
- After each visit, record the session and any payment you've received.
- Open the record before the next booking and check that you have what you need.
Keep your existing history during this evaluation. Contacts import doesn't transfer TrueCoach training history. Before a full move, open your current exports and confirm which records the destination can accept; some may need manual entry or separate storage.
Can RosterOS replace my client's workout app?
RosterOS manages your side of the business. It doesn't give clients a workout login or collect their exercise results. If your service depends on those features, you'll still need a client coaching platform.
Can I try RosterOS without paying?
Yes. The free plan covers up to 15 active clients. Use it for your appointments, notes and payment records, then consider Pro if you need its additional tools.
Download RosterOS and organize your next week. Start with the clients already in your diary.
